General Information, Terms and Conditions

By signing our reservations form, or by placing a deposit, you agree to the following Terms and Conditions that bind you, WVXU/WGUC and Cross-Culture, LLC, and Choice Travel, LLC

RESERVATION, DEPOSIT REQUIREMENT & FINAL PAYMENT SCHEDULE
Your deposit and all payments can be paid by check or charged to a MasterCard, Visa, American Express or Discover credit card. If you make your reservation after the final payment date, payment in full will be required at the time of the booking.

CANCELLATIONS AND REFUNDS
If it becomes necessary for you to cancel your trip (or any portion thereof), you must notify WVXU/WGUC in writing, by e-mail, or by fax immediately. The effective date of your cancellation will be the date that we receive your notification. WVXU/WGUC will assess a cancellation charge to cover loss of non refundable advance payments we may have made on your behalf to including, but not limited to: ground operators; cruise lines; airlines; government agencies; communication expenses; and the loss of time. The cancellation charge applies regardless of the reason for cancellation, such as State Department travel warnings.

CANCELLATION CHARGES PER PERSON ARE AS FOLLOWS:

• 94-65 days: 50% of tour price
• 64-46 days: 75% of tour price
• 45 days or fewer: 100% of tour price (no refund)
• Any changes to reservation: $150 administrative fee

For All Cruises

• 120 days or more: $500 (additional $125 for pre/post tour extension)
• 119-90 days: 50% of cruise price
• 89-61 days: 75% of cruise price
• 60 days or fewer: 100% of cruise price (no refund)
• Any changes to reservation: $150 administrative fee

Name changes are considered a cancellation, and the above-listed charges apply. If you are a no-show, if you cancel your trip after the departure date, or if you leave a trip already in progress, you will not receive any refund for any unused portion of your trip.
Note: Air refunds, if any, are determined by the individual airlines. WVXU/WGUC’s agent Cross-Culture, may, in order to take advantage of schedules and competitive pricing, purchase airlines tickets in advance. These tickets are non-refundable within 95 days of departure.

WE STRONGLY URGE YOU TO PURCHASE TRAVEL INSURANCE
WVXU/WGUC and its agent Cross-Culture reserve the right to cancel a program or to make appropriate changes in any program, in the best interests of the participants, and especially where their health and safety is concerned. Cancellations may be due to (1) insufficient enrollment or because of (2) events or circumstances that are out of our control, its vendors and the participant, or due to impossibility. All monies paid to WVXU/WGUC will be refunded in full. WVXU/WGUC or Cross-Culture cannot accept responsibility for any other expenses incurred by our clients (e.g., non refundable“advance purchase” air ticket, medical expenses, passport and visa fees, extra hotel nights).

TOUR PRICING & INCLUSIONS:
Tour prices quoted are guaranteed and include accommodations based on double occupancy; airfare from your gateway city (when purchasing tour with airfare), meals, performances, admissions and scheduled group excursions as noted in the itinerary, hotel taxes, airport transfers for group flights, baggage handling for one bag per person, services of a Cross-Culture Travel Guide, gratuities to hotels, restaurants, and local guides. Please note that air upgrades, airline taxes, fuel surcharges, departure fees, governmental fees and port charges are subject to change.

NOT INCLUDED IN YOUR TOUR PRICE:
Passport and visa fees; airfare from your hometown to your gateway city; airline and governmental taxes, fees and surcharges; personal expenses such as telephone, communication charges, laundry, beverages, room service, and meals not specified; excess baggage fees, departure, airport and port charges (which will be listed as separate items on your invoice; independent transfers when purchasing a land-only package; gratuities to program guide and driver, optional activities or shore excursions; flights connecting two or more programs and cancellation, travel and health insurance.

CHANGES TO YOUR RESERVATION:
Any changes to your reservation at any time will result in a $150 per person administrative service fee. This fee is in addition to any fees or penalties imposed by airlines, hotels, cruise lines, or other third parties. Changes are subject to availability and cannot be guaranteed.

PASSPORTS & VISAS:
A valid passport is required for all WVXU/WGUC programs. A visa may be required for some of our programs. WVXU/WGUC is not responsible in any way for providing you with information related to passport and/or visa requirements. WVXU/WGUC does not accept any responsibility in your failure to secure the necessary documentation for your trip.

HEALTH & WALKING:
Participants in all WVXU/WGUC programs should be in good physical condition and prepared to enjoy walking, often over uneven cobblestones. We ask you to appraise your own capabilities honestly. And, we ask that you be considerate of the other group members and do not delay the scheduled group activities. We do not provide assistance if you require the use of a wheelchair or have other personal needs; in such cases a companion who will assist you must accompany you. WVXU/WGUC and Cross-Culture reserve the right to decline to accept or retain any participant should such person’s health or deportment impede the operation of the trip or enjoyment of any other participant. If WVXU/WGUC and Cross-Culture decide not to retain a participant during the trip, WVXU/WGUC and Cross-Culture assume no financial responsibility for any unused portion of the tour or for any incidental charges therein.

SMOKING:
No smoking will be allowed on motor coaches. Rest stops are made, at which time there will be an opportunity to smoke.

TRAVEL INSURANCE:
WE STRONGLY RECOMMEND THAT YOU PROTECT YOURSELF AND YOUR INVESTMENT IN CASE YOU HAVE TO CANCEL OR INTERRUPT YOUR VACATION. This coverage will offset cancellation charges in the event of illness before or during your trip. Trip Cancellation/Interruption, Medical Expense/Emergency Assistance, Baggage and Personal Effects, and Baggage/Travel Delay are some of the benefits of the Preferred Benefits Travel Insurance. Details and an insurance application will be sent along with your confirmation packet.

PHOTOGRAPHY ON TOUR:
WVXU/WGUC and Cross-Culture reserve the right to take photographs or video during the operation of any tour or part thereof, and to use the resulting images or video for promotional purposes. By booking a reservation with WVXU/WGUC and Cross Culture, you agree to allow your image to be used for such purposes, without compensation. If you prefer that your image not be used, you must identify yourself to the guide at the commencement of the tour.

AIR TRANSPORTATION:
Your tour with airfare price includes round-trip economy class airfare from designated gateway cities as shown. Add-on airfares from other cities are also listed. If you would like to travel from a city not listed, please call the office to inquire about availability and pricing. Airline upgrades are on subject to availability. NOTE ABOUT NON-REFUNDABLE TICKETS: If you decide to take advantage of low-price, non-refundable airfares, you are responsible for any penalties or fees charged by the airlines, should you change your ticket, should you have to withdraw, should the group flight schedule change or should WVXU/WGUC and Cross-Culture find it necessary to cancel the trip. We advise you not to buy any restricted tickets until your program and international air departures have been confirmed (in some cases, as late as 30–45 days before departure). Also, please be advised that changes and cancellations can and do occur in airline schedules, gateways, and routings. Therefore neither WVXU/WGUC nor Cross-Culture nor its partnered travel agencies can be responsible for any monetary loss, personal difficulties, or inconveniences resulting from the purchase of your own domestic or international air arrangements. We recommend that you do not buy tickets with severe restrictions or high cancellation or change penalties.

When we contract with airlines, many factors are taken into consideration. These include, but are not limited to U.S. and foreign departure and arrival times, transfer times between flights, ability to secure sufficient space, ability to secure prices a year or more in advance of travel, the need for flexibility in travel requirements and, of course, cost. While the chosen options for the group may, at times, be slightly less advantageous to you, the individual traveler, our primary goal is to choose the most advantageous schedules for the largest number of participants wishing to travel together to their program. There may be sale or Internet fares that offer alternate schedules or prices. However, these types of specials are often not available to groups of travelers, are usually very limited in availability, and often carry severe restrictions and penalties.

WVXU/WGUC and Cross Culture are unable to guarantee any seat assignments or meal requests.

LOSSES & RESPONSIBILITY:
Cross-Culture LLC (d/b/a Cross Culture Journeys), Choice Travel, LLC and their representatives act only as agents for the suppliers of services named in your brochure or itinerary (the “Suppliers”). We do not assume any liability for any injury, damage, loss, accident or delay to any person or property because of: (1) any act or omission of any of the Suppliers; (2) any matter beyond our control including but not limited to a delay or cancellation of a flight that causes the participants to miss any portion of the trip; or (3) any defect in any equipment, furnishings, or supplies, regardless of cause; or (4) the quality, nature or consequences of medical or surgical treatment. We have no special knowledge regarding the financial condition of the Suppliers, unsafe conditions, health hazards, weather hazards, or climate extremes at locations to which you may travel. For information concerning possible dangers at destinations, we recommend contacting the Travel Warnings Section of the U.S. State Department at (202) 647-5225 or www.travel.state.gov (click on “Consular Information Sheets on the lower left). For information on passports and visas, please call the same telephone number or use the same website. For medical information, we recommend contacting the Centers for Disease Control at (877) FYI-TRIP or www.cdc.gov/travel.

DOCUMENTS:
WVXU/WGUC and Cross-Culture, LLC.; Choice Travel, LLC; and their representatives do not assume responsibility for any loss or damage resulting from any improper or insufficient passports, visas, or other documents.

PARTICIPANT RESPONSIBILTY:
Participants bear the risk and take the responsibility for their personal belongings, including all luggage, handbags, carry-ons, and other possessions. Participants are encouraged to take all available measures and precautions to protect their valuables. Participants who choose to leave the group during the course of the group itinerary or to travel independently of the group must take full responsibility for this decision and for any costs incurred in doing so.

NOTE:
All headings used in this agreement are for the purpose of convenience only and are not necessarily to be construed as part of the agreement; in the event that any term contained herein shall be declared invalid, the remainder of the agreement shall continue in full force and effect; any dispute arising under this agreement (except for disputes related to physical injuries occurring abroad) shall be governed by the laws of the State of Ohio, and any lawsuits related thereto shall be maintained solely in the courts of Ohio; however, any lawsuits related to physical injuries occurring abroad shall be maintained solely in the courts of the country in which such injuries occurred. WVXU/WGUC and Cross-Culture, LLC reserve the right to correct errors to update any of the information herein if it is superseded by newer information. All claims must be received in writing within 30 days after the occurrence, and any related litigation must be completed within one year after the claim arises. We offer refunds under this agreement with the express understanding that receipt of the refund constitutes a waiver of any and all claims.
